1.1. During the interaction between Users and Wordica, the Company collects and processes only the personal data necessary to ensure functionality, stable operation, and compliance with applicable legal obligations.
1.2. The personal data processed by the Company includes the following information:
1.2.1. User identification data in Telegram, including:
1.2.1.1. Unique user identifier (Telegram ID);
1.2.1.2. Username, if provided;
1.2.1.3. Displayed first name and last name;
1.2.1.4. Telegram interface language;
1.2.1.5. Profile picture (in anonymized form, if necessary);
1.2.1.6. Status of interaction with Wordica (e.g., subscription status, chat role, etc.).
1.2.2. Interaction data with Wordica, including:
1.2.2.1. History of messages and commands sent by the User to Wordica;
1.2.2.2. Timestamps and dates of interactions with Wordica;
1.2.2.3. Responses received from Wordica, including data transmitted to external AI services, if applicable;
1.2.2.4. Data voluntarily provided by the User through forms, feedback, applications, etc.
1.3. The Company does not collect special categories of personal data as defined in Article 9 of Regulation (EU) 2016/679 (GDPR), including but not limited to health information, racial or ethnic origin, political opinions, religious beliefs, and similar sensitive data.
1.4. We do not collect IP addresses, cookies, or other technical data, except in cases described in Sections 6.1.2 and 7.2, where such data may be collected automatically to ensure the operation of Wordica and compliance with legal requirements.
1.5. In the case of using payment tools integrated within Wordica, the processing of payment information is carried out by the respective payment providers, who act as independent data controllers. The processing of such data is governed by the privacy policies of the relevant payment providers, which the User is required to review and accept.
2. Purposes of Personal Data Processing
2.1. The processing of personal data of Wordica users is carried out solely for the purposes necessary to achieve the following objectives:
2.1.1. Ensuring the core functionality of Wordica:
2.1.1.1. User identification within the Telegram platform;
2.1.1.2. Processing commands and requests sent by the User;
2.1.1.3. Generating responses and content based on the input provided;
2.1.1.4. Providing a personalized interaction experience with Wordica.
2.1.2. Supporting and improving the operation of Wordica:
2.1.2.1. Monitoring the stability and proper functioning of Wordica;
2.1.2.2. Analyzing user behavior in an aggregated and anonymized form to improve the user interface (UX/UI) and interaction logic;
2.1.2.3. Processing error reports and support requests.
2.1.3. Compliance with legal requirements:
2.1.3.1. Keeping records and reports in cases of providing paid services, including for taxation and financial control purposes;
2.1.3.2. Fulfilling legal obligations related to data protection and telecommunications services as required by law;
2.1.3.3. Responding to lawful requests from authorized government authorities and other third parties.
2.1.4. Communication with users:
2.1.4.1. Sending notifications related to the operation of Wordica, including but not limited to updates and changes to the terms of use;
2.1.4.2. Responding to user inquiries, providing feedback, and offering technical support.
3. Legal Grounds for Personal Data Processing
3.1. The Company processes users’ personal data based on one or more legal grounds provided under Article 6 of Regulation (EU) 2016/679 (GDPR), depending on the nature of the inter action with Wordica:
3.1.1. User Consent (Art. 6(1)(a) GDPR)
3.1.1.1. This basis applies in cases where the user voluntarily provides personal data, including but not limited to data submitted via forms, feedback, the use of special features, or when activating extended functionalities of Wordica.
3.1.1.2. The user may withdraw their consent to the processing of personal data at any time by sending a request to the following email address hello@wordica.io. Withdrawal of consent does not affect the lawfulness of the data processing carried out based on consent before its withdrawal.
3.1.2. Performance of a Contract or Pre-contractual Measures (Art. 6(1)(b) GDPR)
3.1.2.1. This legal basis applies where the processing of personal data is necessary for the performance of a contract with the User or to take pre-contractual steps at the User’s request, including providing access to Wordica functionality, processing user requests, and generating responses.
3.1.3. Compliance with Legal Obligations (Art. 6(1)(c) GDPR)
3.1.3.1. This basis applies in cases where the Company is required to retain or disclose Users’ personal data in accordance with applicable legal requirements, including but not limited to tax or accounting obligations related to the provision of paid services.
3.1.4. Legitimate Interests of the Company (Art. 6(1)(f) GDPR)
3.1.4.1. This legal basis applies to the processing of personal data for purposes such as analytics, protection against misuse, improvement of user experience, and administration and maintenance of Wordica, provided that the Company's legitimate interests do not override the fundamental rights and freedoms of the User.
3.2. If the processing of personal data is based on the User’s consent, the Company always provides the User with the option to withdraw their consent at any time. Withdrawal of consent will not result in any negative consequences for the User, including any restriction of access to the functionality of Wordica.
4. Personal Data Retention Periods
4.1. Users’ personal data is retained only for as long as necessary to achieve the purposes set out in Section 3 of this Policy, unless a longer retention period is required by applicable law.
4.2. Specific retention periods for personal data are determined based on the category of data and the purpose of its processing as follows:
4.2.1. Data related to technical interactions with Wordica (Telegram ID, username, command history) is retained for 12 months from the User’s last interaction with Wordica. After this period, such data will be deleted or anonymized
4.2.2. Data submitted through support requests or via email (e.g., to hello@wordica.io) is retained for 6 months after the completion of the request processing, unless longer retention is required by law.
4.2.3. Data related to the provision of paid services (if any) is retained for the period required by accounting and tax legislation, particularly up to 5 years if mandated by applicable tax and financial regulations.
4.3. After the expiration of the retention periods specified in this section, personal data will either be deleted or anonymized in a way that prevents the identification of the User, unless longer retention is legally required.
4.4. Users have the right to request the deletion of their personal data at any time by sending a request to hello@wordica.io, unless data retention is mandated by applicable law. All such requests will be processed within 30 calendar days in accordance with data protection laws.
5. Users' Rights as Data Subjects
